How to Run WhatsApp Broadcast Campaigns with WABA.FLOTA
Broadcast campaigns let you message your entire subscriber list — a sale announcement, a restock alert, a reminder — in one go, instead of one-to-one replies. WhatsApp has specific rules about this (it's not like sending a normal chat message), so this guide covers both the "how" in WABA.FLOTA and the WhatsApp rules that shape it.
Why campaigns need a "template", not just a message
WhatsApp only lets a business message a customer freely within 24 hours of that customer's last message to you. Outside that window — which is exactly the situation for most broadcasts — you're required to use a pre-approved message template. This is a Meta rule, not a WABA.FLOTA limitation, and it exists to stop businesses from spamming people.
Before you can send your first campaign, you need at least one approved template, created and submitted for review inside your Meta Business Manager (WhatsApp Manager → Message Templates), not inside WABA.FLOTA. Approval usually takes a few minutes to a few hours. Keep templates simple and clearly non-spammy (no ALL CAPS, no misleading urgency) — that's the most common reason for rejection.
Step 1: Have your subscriber list ready
Campaigns send to your subscriber list, built from customers who've messaged you or been added via Dashboard → Menu/Integration import tools. Check Dashboard → Messages or your subscriber count before sending — a campaign to an empty or tiny list isn't worth troubleshooting a template over.
Step 2: Create the campaign
Go to Dashboard → Campaigns:
- Campaign name — internal only, customers never see this. Use something you'll recognize later, e.g. "Eid Sale — Aug 2026".
- Template name — must exactly match an already-approved template name from your Meta Business Manager. A typo here is the most common reason a campaign silently fails to send.
- Scheduled at — leave blank to send immediately, or pick a future date/time to schedule it. Scheduled campaigns are picked up automatically by the platform's own scheduler — you don't need to keep a browser tab open.
Submit, and the campaign either sends right away or waits for its scheduled time.
Step 3: Track results
Once a campaign has gone out, check back on the campaigns page for delivery stats. If you've got click-tracking links inside your template, those clicks are tracked separately so you can see engagement, not just delivery.
Handling delivery failures
Not every message in a large broadcast delivers cleanly — numbers can be invalid, unreachable, or have opted out. WABA.FLOTA automatically retries failed sends a limited number of times in the background; you don't need to manually resend a whole campaign because a handful of numbers bounced.
Best practices that actually affect delivery and approval
- Keep templates useful, not just promotional — order updates, appointment reminders, and restock alerts get approved faster and read better than generic "SALE SALE SALE" templates.
- Segment before you blast everyone — if you have contact segments or tags set up, a targeted campaign to people who actually care about the offer outperforms (and annoys fewer people than) one sent to your entire list every time.
- Respect opt-outs — anyone who's asked not to be messaged should never be included in a broadcast list; WABA.FLOTA's opt-out handling keeps this consistent automatically.
- Don't over-broadcast — WhatsApp tracks quality ratings per number; template messages that get consistently blocked or reported can get your number's messaging limits reduced by Meta, independent of anything WABA.FLOTA does.
Common questions
My campaign says it sent, but customers say they never got it — what happened?
Check the template name matches exactly (including case) an approved template, and confirm the phone numbers in your subscriber list are in full international format. A mismatched template name is the most frequent cause.
Can I send a broadcast without a template, to people who messaged me recently?
Only within that 24-hour service window, and only as a reply in that specific conversation — not as a bulk campaign tool. Campaigns are built around the template-required, any-time-window case.
How do I know if my template got approved?
Check WhatsApp Manager inside Meta Business Manager directly — that's the source of truth for template status, not WABA.FLOTA's own dashboard.
Can I schedule recurring campaigns (e.g. every Friday)?
Each campaign is scheduled individually today — for a recurring send, create a new campaign each time with the same template, or ask about upcoming recurring-schedule support if that's a common need for your business.
